Automating meeting notes into your CRM
Your reps take 20 calls a week. Otter transcribes all of them. Your CRM still says “called, no notes”. The missing piece is not another integration — it is a file you control.
Why not just connect Otter to the CRM?
- Otter's CRM sync sits on the Business tier (≈ $30/user/mo).
- It supports a short list of CRMs; anything else is out of luck.
- When the sync breaks, you cannot see why.
The CSV approach
- Export your Otter meetings to one CSV — Title, Date, Participants, Summary, Action Items.
- Map three columns into your CRM's import format.
- Import once a week (most CRMs accept CSV natively).
Ten minutes a week, no API keys, no vendor lock-in. If you switch CRMs next quarter, the workflow still works.
Field mapping
| Otter export column | HubSpot property | Pipedrive field |
|---|---|---|
Title | Call title / Subject | Deal title |
Date | Call date | Activity date |
Participants | Associated contacts | Person |
Summary | Call notes | Note |
Action Items | Next step | Next activity |
The weekly routine
- Friday 4pm: open the Otter list, press Start in the extension.
- Export CSV (include Action Items; transcript optional).
- Import into the CRM, map once — the mapping is remembered on the next import.
- Anything the importer rejects goes into a “needs a human” sheet.
One CSV instead of a tier upgrade
Free version exports 10 meetings. $29 unlocks the rest, once.

Does it post to my CRM directly?
No — deliberately. Posting to a CRM needs OAuth and account access. A CSV works with every CRM today and keeps your credentials out of a third-party extension.
Which columns do I need for action items?
Only Action Items and Date, plus whatever your CRM uses as a unique key (usually the deal or contact ID).
